We are looking for a passionate and professional Executive Officer to join our Singapore Pools Academy (SgPA) team.
Based in Singapore and reporting to the Assistant Manager, Learning Operations (Systems), the incumbent will support SgPA in strengthening day-to-day learning operations while building future-ready capabilities in learning technologies. The role ensures smooth delivery of core operational processes, including course administration, LMS updates, data accuracy, and learner administration support.
Within established system and policy frameworks, he/she enhances SgPA's learning ecosystem by improving workflows, supporting system governance, and adopting modern digital and AI-enabled tools that reduce manual effort and improve learner experience. He/she identifies opportunities to innovate, assists in system enhancements, and supports automation where feasible and sustainable. The role also develops user guides, training materials, and knowledge resources to build digital confidence within SgPA and the wider organisation.

What You'll Do
- You will support end to end learning administration, including logistics, vendor liaison, and funding claim submissions.
- You will manage and support day-to-day Learning Platforms operations.
- You will ensure data accuracy through proper tagging, metadata standards, and regular housekeeping activities on all Learning Platforms.
- You will maintain user guides, workflows, and SOPs for system processes to ensure operational consistency.
- You will conduct first-level troubleshooting, system checks, and escalate technical issues when needed.
- You will support UAT and system enhancement testing by preparing test scenarios, executing scripts, and documenting issues.
- You will prepare monthly operational dashboards and compliance tracking reports.
- You will support the review and simplification of Learning Operations workflows, identify manual or error-prone processes and implementing agreed improvements.
- You will apply approved automation and AI tools (e.g. templates, automated communications, basic reporting support) to reduce administrative effort and improve process reliability.
- You will maintain SOPs, process documentation, and job aids to reflect updated workflows and ensure consistency across the team.
- You will support the adoption of digital and AI tools across SgPA, including preparing simple user guides and assisting Programme and Learning Partners in applying tools within established governance frameworks.
- You will ensure timely submission of funding claims via funding agencies' websites.
- You will co-ordinate and organise logistics that support Academy's workshops and training programs which include liaison with vendors
- You will liaise with vendors, agencies and clients as and when required.
- You will support in uploading of training materials to digital learning platform.
- You will prepare dashboards, monitors budget and tracks project progress.
- You will support the continuous review of course administrative processes/ training SOPs and provide suggestions to enhance work productivity and streamline processes.
Who You Are
- You have a Diploma or Degree in Business, Computer Science, Information Systems, HR, or a related field.
- You have at least 2 years' experience in learning operations, HR systems administration, or digital learning support.
- You have experience with LMS platforms (SuccessFactors preferred).
- You possess high level of proficiency in Microsoft Power Platforms (Automate and Power App) and Microsoft Office Productivity Suite (i.e. Word, Excel, PowerPoint, Outlook).
- You are familiar with digital tools, automation and AI assistants.
- You have good awareness of digital tools used for simple content updates.
- You have strong communication skills and stakeholder support mindset with the ability to work independently on detailed tasks and collaboratively on system enhancements.
